Today, I want to talk to you about an outstanding product, and one which I’ve never seen anything like before. Let me paint the problem for you first, and then I’ll discuss how this solution helps. 

Office 365 Adoption

Many clients have purchased Office 365 – Australia for instance has one of the highest adoption rates of Office 365 anywhere in the world. Organisations are on their journey to adopt the Office 365 platform in their environment, but the 365 productivity suite is very broad. There’s OneNote, Teams,  Yammer, Outlook, SharePoint, One Note, OneDrive and more. Other than email, most of the toolsets prove to be quite challenging to deploy into an organisation. We meet a lot of companies who tell us, “You know what, we really want to deploy Microsoft Teams or OneDrive, but we just don’t know how to enable our workforce to start using them.” And then we have other clients who have implemented Office 365 and say, “You know, I’m not sure if I’m really getting the heavily-marketed productivity benefits from the platform. I don’t know if our team is sharing files and collaborating on those files. I don’t know how they’re using Teams to have meetings. I don’t know whether they’re actually using Teams to send a message to an individual as opposed to sending an email.” There are so many features and so many capabilities within Office 365, and our clients are unsure whether they’re being utilised. That’s where Nulia comes into play.

Traditional Training Does Not Work

What do organisations do? What do you do? You go through an adoption and change process. You start training your users, you put flyers up in bathrooms. Maybe you do some fantastic marketing around the office saying, “Microsoft Teams is coming, SharePoint’s coming!

IT departments run lunch and learn sessions, you drop little ‘how-to-‘s’ on people’s desks, you email people instruction manuals or user guides, you enable your helpdesk with FAQs which they can share when people ring and say, “How do I do this?” You don’t really know whether they’re going to ring the helpdesk. You also don’t know whether they’re just heading to Google and trying to find the answer out themselves. 

The truth of the matter is, traditional roll-out strategies only work so far. If you’re like me, you go to a training course, you’ll arguably remember 50% of the training. Then you come back from the training course and probably implement 10% of the 50%. In fact, what we know from a recent study by McKinsey, is 70% of adoption and change management fails. The reason it fails is there’s no way to ensure people are implementing what it was they were being trained on. What you don’t know is whether your employees are implementing any of the training they receive, and it is very hard to monitor and measure.

Maybe they learned a new hack. They learned you can do @Mentions in Teams. Your employees go back to their desk, try it and say, “Yes, this is cool,” and then forget about it and get on with their day-to-day. Or maybe they learn they can share files through Teams and collaborate by having people work on the document in real-time, rather than emailing it to-and-fro, with multiple edits and multiple versions. 

They try these things for a while, but the people they are working with don’t keep it up or aren’t used to doing it, and before you know it, they go back to just emailing files.

Enter Nulia.

Nulia is a learning platform, but as I said earlier it’s like one I’ve never seen before. It doesn’t focus on training, it focuses on enabling the user and consistently measuring the enablement and giving you the opportunity to identify the productivity gains you can receive. 

By way of example, here’s what we’ve done at Insentra. We implemented Nulia in January and we let it run in the background for two weeks. Over those two weeks it was assessing our entire global crew. It assessed them against a selection of different Office 365 features and functions. Each of those features and functions, collectively, form part of skills. Each collection of skills, forms part of an outcome. 

We were able to identify very quickly, based on the features and functions people were using, the skills they had across the O365 suite. Based on those skills and the rollup of those skills, we could see the outcomes they achieved. So, we established a baseline and an understanding of how our crew are leveraging Office 365. 

From this baseline, we were able to assign outcomes to individuals. We did this based on the team which they’re a part of and their persona – whether they’re a team leader, a remote worker, an office worker. So when they go into the platform, they understand that one of the outcomes they needed to achieve was, for example, Collaborative Teamwork.

In the Collaborative Teamwork outcome, they needed to show they could exhibit these skills and the different features and functions of those skills. What the platform enabled the crew to do, was to enter the platform and understand the next steps on their enablement journey.

My Nulia

When I logged in for the first time, I discovered I had already achieved 26 skills and five outcomes.. I hadn’t done anything other than use the Office 365 platform as per usual; Nulia had been monitoring the way I worked day-to-day. Now when I go into the platform, I can see the skill I need to develop next and I’m presented with the enablement materials for me to learn how to do it, in a learning style which suits me – visual, audio, reading and writing, or kinaesthetic. 

A short video later, maybe one and a half to two and a half minutes and then what I’m presented with is the ability to click ‘try it’ and go into Office 365 to implement the skill immediately. The advantage being, I take the learning and immediately apply it. From then on, Nulia continues to monitor my activity to see whether I’m continuing to use the skill and only when I demonstrate I am using the skill does Nulia say I now have that skill.  Further, I need to keep using the particular skill or Nulia will start reporting on the fact I have stopped and tell me I have a skill which needs attention – therefore I am constantly reminded and driven to maintain my newly learnt skill.

If you look at the Prosci model, typically, in your classic ADKAR approach, it’s the last A and the R which are the hardest. It’s repetition, it’s ensuring people continually use which makes change programs effective.

With Nulia, we have the visibility to understand where our teams are, suggest which skills they should learn, give them the enablement, give them the education they need to learn those skills, and then monitor their activity to ensure they’re continuing to utilise those skills.

Not only can we assign outcomes to individual employees or groups, but within the platform they can choose to learn more. For example, a desired outcome for a manager could be to get remote workers using Teams at a User level. When they complete the skill and think, “I’ve achieved it, but now I want to go to the Producer level,” they’ll be presented with more features, functions, and skills to learn. Once they’ve succeeded, they can accelerate themselves to the Master level. Obtaining badges along the way, users can share them to promote their new skills with their organisation and networks. Your own team can take themselves on an enablement journey at the same time as you are crafting a journey for them.

Gamification

We now have a platform where we can gamify the digital enablement experience. As our crew are gaining different skills, they are building up “achievement points” which they can also ‘spend’ to unlock more learning.  I can now share the different achievement points people have with one another and introduce some competition. I can also share with people how many skills they have achieved versus their counterparts so they want to work to achieve more than one another. Coming soon I will be able to also report at an industry level – i.e. how does my organisation compare to others in my industry.

In Summary

We now have a platform which allows you to measure and evaluate, educate and enable, and reward and excite all of the people within your organisation and critically, you have the ability, through the insights delivered by Nulia to truly understand the productivity gains you and your business are getting as a consequence of implementing Office 365. Further, you can achieve consistency across your organisation with everyone getting the most out of the Office 365 productivity suite, via the same level of training.
