Simplifying renewal process of Cyber Essentials Plus

CUSTOMER INTRODUCTION

The Futures Group is a social enterprise, supporting communities and businesses with careers advice, employment support and training opportunities. Based in the heart of Nottingham City Centre supporting individuals and businesses to develop, grow and be the best they can be.

The organisation was rated outstanding by Ofsted (Office for Standards in Education, Children’s Services and Skills) for their clear, enterprising, and bespoke services. The Futures Group believe there is more to life than just a career. Their mission is to be at the forefront of careers advice, skills and support which turn ambition into a successful career and fulfilling life.

THE PROBLEM / GOAL

The Futures Group had a massive challenge to overcome for their remote workforce due to their existing network infrastructure and reliance on laptops connecting via VPN. Staff identified and complained about flaky connexions and issues accessing files from the fileservers.
Without a clear collaboration strategy, employees were not working together efficiently, with people accessing different versions of files, inaccurate or out of date data and a general lack of collaborative working.
The Futures Group wanted to modernise and transform their IT platforms onto the Microsoft solution set to drive better collaboration across the business, alongside building a strong foundation to maintaining Cyber Essential Plus accreditation.

THE SOLUTION

Through Insentra’s solid relationship and Partnership with Bytes Software Services, Insentra was initially engaged prior to the RFP being issued. Insentra discussed the benefits of working with a strategic roadmap prior to embarking on the Office 365 transformation journey. Having presented our established methodology for providing an advisory engagement, this brought an organised and structured approach to the Futures Group M365 transformation journey.

The initial Infrastructure Readiness project was delivered over three months focusing on reviewing the existing tenant and preparing for the onboarding of the different Microsoft products (Teams, SharePoint, and OneDrive) and introducing App Proxy to make internal applications available to end users without the need to connect via VPN. This project was followed by the design, configuration and deployment of Microsoft Intune for Modern Management focused on end user devices.

Finally, we brought together the Information Architecture and Governance to deliver a Modern Collaboration project, establishing a foundation framework for modern collaboration tools (including SharePoint and OneDrive) prior to the migration of user and shared data. These projects were combined and accompanied by our Partner Bytes supporting The Futures Group IT team with specific training and development to provide underpinning knowledge and direct experience to support the implementation

THE RESULTS

With input from The Futures Group stakeholders, Insentra divided the transformation into smaller projects with particular focus on key deliverables for each of the projects:

  • Reducing the reliance on on-premises Fileservers
  • Simplifying the process of maintaining their Cyber Essential Plus accreditation
  • Planned reduction of on-premises infrastructure
  • Reduced and eliminated the reliance on VPN
  • Reduced the manual effort for patching and the need for devices to be network connected to receive the important security updates
  • Successful deployment of an Information Architecture and Governance foundation framework, in which, OneDrive, Teams and SharePoint were implemented throughout the organisation

Through the successful implementation of these items, the outcomes for The Futures Group included:

  1. More efficient and effective management of the hardware estate
  2. Improved data security and reduced risk of attack as a result of devices being centrally managed and automatically updated
  3. Increased collaboration of staff, working more efficiently without the need to connect via VPN
  4. A foundation for maintaining Cyber Essential Plus accreditation
  5. Increased efficiency and employee experience
  6. Increased collaboration between users and departments by leveraging OneDrive, Teams and SharePoint

The Futures Group are now better equipped to develop and build toward their aspirational cloud-first model.

CONCLUSION

The collaborative approach between Bytes, Insentra and The Futures Group IT Team resulted in a strong working relationship, solid support and communication throughout the program and individual project lifecycles and the achievement of all the project objectives.
